How to Create a Custom Workflow in Your JobNimbus App

One of the most important reasons to invest in CRM and job management software is the ability to digitize your existing workflow in order to become more productive and efficient. With JobNimbus, we know your workflows will be much better and more laser-focused than ours will be. That’s why we allow you to recreate your physical workflow in our digital playground that allows for a custom workflow.

Setting up and personalizing your workflow is quick and easy within our construction management software.

Translating Your Workflow in JobNimbus

JobNimbus makes it easy for Pro users to move your customers and projects through a custom workflow. There are two kinds of workflows in JobNimbus:

1. Contact Workflow (via Contact Type) – Tracks the workflow steps in your sales process.

2. Job Workflow (via Job Type) – Tracks the workflow steps in your job/project management process.

Here is an example of a simple workflow you might use to move a customer through your business process:

You can easily create a custom workflow of both contacts and jobs to match your organization’s business processes.

Creating Your Custom Workflow

To customize the workflow, hover over your name in the top right corner and choose Account Settings from the menu. Note: Only Admins will see the option. Other users will not see this option on the menu.To change your sales workflow, choose the Contact Type tab. To change your project workflow, choose the Job Type tab.

Adding a New Type

JobNimbus has several default types for you already, but you can customize each one of these or add your own. Use the Add Type button to add a new type to the list. In the Add Job Type popup, name the Type and set a workflow. When finished, click Add Job Type.  Your new type will appear on the list. To edit the workflow for this type, hover your mouse over the row and select Manage Workflow from the action menu. Now you’ll see the popup for this workflow. From here you can edit, add, and delete statuses, and rename a workflow.  You can reorder your types by dragging and dropping the rows. This is important so that the types you most use will be higher up on the lists and, therefore, easier to select.

Contact Status Options

The contact status has several options:

Status Name – The name of the status.

Is Closed? – Whether or not this status signifies that the contact is closed (for instance, a dead lead or when there’s no more work to be done.)

Is Lead? – Whether or not this status means the contact is still a lead or a prospect.

Send to QuickBooks – If you have QuickBooks integration enabled, this setting tells JobNimbus which statuses will automatically synchronize contact info with QuickBooks.

Is Mobile Sync? – By default, only contacts that you are a sales rep or an owner will be visible on the JobNimbus mobile app. But checking this box, you override that setting to make it so all contacts of that status (regardless if you are a sales rep or owner) are synchronized to the mobile device.

Job Status Options

The job status has the following options:

Status Name – The name of the status. Is Closed? – Whether or not this status means the contact is closed (a dead lead or no longer work to be performed on it).

Is Lead? – Whether or not this status means the contact is still a lead or a prospect.

Moving Between Custom Workflow Statuses

Changing the status of your contact or job moves it to a different step in the workflow. You can either edit the job or contact and choose a different status in the status drop down or you can use the action menu to move statuses with one click.

Reporting on Progress

Using the Report builder, you can check the status of jobs or contacts. See Reports to learn more about building reports. Here’s a sample of a report that shows jobs grouped by status.
