Our v1.16 update that came out just this week includes some very helpful tools to keep your workflow’s inertia. A huge part of many jobs is getting the crew their work orders and getting the materials ordered from the supplier(s).

Before v1.16, doing this meant either truncating an estimate or doing it the old fashioned way. Now, our roofing software has a brand new Work Order and Material Order tool that will help you build those orders in seconds directly from an estimate.


How to Easily Create Work and Material Orders in JobNimbus


Work-and-Material-Orders-Tutorial-16The process for creating Work or Material Orders is generally the same, so we’ll focus mainly on the former and touch on Material Orders at the end.


To start, you’ll need to enable these features in your Account Settings. Head there and click on the Features tab.


Work-and-Material-Orders-Tutorial-17Here you’ll see the list of optional features you can enable in JobNimbus. If you see any other features here that interest you, feel free to turn those on now as well to try them out later.


To enable a feature, just fine the button on the right side that will say “Enable” and click it once. Let’s enable both Work Orders and Material Orders.


Work-and-Material-Orders-Tutorial-18Now, let’s assume you already have an estimate built for a job. Let’s go to that estimate now.


Work-and-Material-Orders-Tutorial-1You can now create a Work or Material Order right from the Estimate screen by just clicking on the gear action menu at the top right of the estimate.


Work-and-Material-Orders-Tutorial-2Here you’ll see the option to Create Work Order. Clicking that option will automatically build an order based on the estimate and will pull in all your estimate line items and related contacts, jobs, etc.




Building Your Work Order


You’ll see the Work Order tool screen that looks exactly like the estimate tool screen, but filled out with all the data from the Job and Estimate.

The first thing you want to do is choose a Design Template for when you’re ready to save. If you haven’t created a design template for the Work Order type, you can do that from the Templates tab in your Account Settings.


Work-and-Material-Orders-Tutorial-4I have a simple template set up called Work Order that I’ll choose.


Now you can set a Work Order Date, or leave it as the default of today. You can also edit any line items, adding description where necessary, and you can add Special Instructions that will go out to the crews, and an Internal Note that will be saved to the Work Order record.

Work-and-Material-Orders-Tutorial-6You’ll then see the record screen with the summary of information and workflow data at the top and a preview of the document below.


Work-and-Material-Orders-Tutorial-7Now there are a few things you can do with this Work Order. To find your options, click the gear action menu at the top right of the page. You have options to Edit, Download, Print, Email, Add Note, or Delete this record.




Emailing Your Work Order


The most common step now is to email this to the crews that will be in charge of getting the job done. To do that, select the Email Work Order option.


Work-and-Material-Orders-Tutorial-100You’ll get a popup that allows you to select any Related Contacts to this job, including your crews. Just select who you want this to be sent to and click Send Work Order.


Now, let’s go back to the Job for this Work Order by clicking the link to the Job at the top.


Work-and-Material-Orders-Tutorial-11If you then click on the Financials tab of this Job, you’ll see your Work Order is now listed here for future reference.



And that’s all there is to it. It’s really easy to create work orders quickly to send out and get a team going.


Creating Material Orders

Let’s try creating a Material Order now, to make sure the crews have all the materials they need to get started.

On this same Financials tab for the job, let’s hover over our Estimate and use the gear action menu. You’ll see the option to Create Material Order; click it.



The process for creating, editing, and sending a Material Order is the exact same as with Work Orders. You’ll see the tool screen that will allow you to edit the information pulled in from the estimate, you can choose your Design Template, and add notes.

Again, just click the Save button at the bottom and you’ll be taken to your new Material Order record.

You can also send this material order directly to a supplier, so make sure you’ve added your supplier to the Job as a related contact. If you haven’t done so, you can download your Material Order as a PDF and send it that way.

Your Materials Order will also be stored in the Financials tab of the Job, so you can access it and send it at any time.



And that’s it! Pretty easy, huh?
