Data Retention Policy

Purpose

This policy describes how JobNimbus retains and disposes of data and is intended to provide transparency to customers, partners, and other stakeholders about our data management practices.


Scope

This policy applies to all data created, received, or maintained by JobNimbus across all formats, including but not limited to customer data, financial records, and operational data. It applies to data stored on JobNimbus systems, cloud infrastructure, and third-party subprocessors acting on JobNimbus’ behalf.


Active Subscription Data

While a customer account is active, JobNimbus retains all customer data necessary to provide the platform services, including job records, contact data, financial transactions, and integration-sourced data. JobNimbus does not retain active customer data beyond what is necessary to deliver, maintain, and improve the services.


Aggregate and Anonymized Data

JobNimbus may derive aggregate, de-identified, or anonymized data from customer data in the course of operating and improving the platform or for other business use ("Anonymized Data"). Anonymized Data does not identify any individual customer, end user, or natural person and cannot reasonably be used to do so. Because Anonymized Data is derived from and incorporated into larger datasets, it cannot be isolated, parsed, or attributed back to any individual customer or account and is not subject to the retention periods or deletion obligations set forth in this policy. JobNimbus retains Anonymized Data indefinitely and has no obligation to delete it in response to account closure, subscription termination, or a customer deletion request.


Data Export

Customers in good standing may access or export their data at any time during an active subscription through the JobNimbus platform export tools. Data exports are solely for the customer’s internal business use. Customers may not share platform credentials, provide access to JobNimbus systems, or use exported data in a manner that violates the JobNimbus Terms of Service, including by providing access to competitors or unauthorized third parties. JobNimbus strongly encourages customers to export their data prior to account closure, as access to platform data will be discontinued at the end of the subscription term. 


Post-Closure Retention

Following account closure or termination of a subscription, JobNimbus retains customer data for up to one (1) year. After that period, JobNimbus has no obligation to retain or delete the data, though deletion will occur in the ordinary course consistent with the schedules below. Customers may request deletion of their data after account closure by submitting a request to legal@jobnimbus.com, subject to any applicable legal, regulatory, or contractual retention obligations.

Customer-Initiated Deletion

Customers may delete data from within the JobNimbus platform at any time during or after an active subscription. Data deleted by a customer is treated as follows:

  • Deleted records are removed from the active platform immediately and are no longer accessible to the customer or end users.
  • Deleted data is permanently purged from all JobNimbus active systems, within ninety (90) days of deletion.
  • Once the 90-day purge period has elapsed, the deletion is irreversible. JobNimbus cannot recover data that has been permanently purged.


Legal Holds

Notwithstanding the schedules above, JobNimbus will preserve data beyond its standard retention period when required by applicable law, regulation, court order, or as necessary in connection with actual or reasonably anticipated litigation, audit, or regulatory inquiry. Legal holds are managed by the JobNimbus Legal team and supersede normal disposal procedures.

Customer Rights

Depending on your location and applicable law, you may have the right to request access to, correction of, or deletion of your personal data held by JobNimbus. To submit a request, contact us at support@jobnimbus.com. JobNimbus will respond to verified requests within 30 days. Note that certain data may be retained notwithstanding a deletion request where retention is required by law or is necessary to resolve disputes or enforce agreements.
